Why Convert Excel Spreadsheets to PDF?

Spreadsheets are powerful for analysis but notoriously bad for sharing. Recipients without Excel — or with a different version — may see broken formulas, shifted columns, or missing formatting. Controlling Page Layout Before You Convert

The most common problem with Excel-to-PDF conversion is a spreadsheet that spans multiple pages when it should fit one. Before converting, set your print area in Excel (Page Layout → Print Area → Set Print Area) to define exactly which cells should be included. Use Scale to Fit (Page Layout → Scale to Fit → 1 page wide) to force wide tables onto a single page width. Set page orientation to Landscape for wide spreadsheets. These adjustments in Excel are reflected in the PDF output, so the resulting document looks like a professional report rather than a truncated grid.

What Elements Are Preserved in the PDF?

Cell values, number formats (currency, date, percentage), fonts, text alignment, background colours, borders, charts, and images are all preserved in the output. Formulas are evaluated and their results are shown as static values — the PDF recipient sees the number, not the formula behind it. Hyperlinks within cells are rendered as text. Interactive elements such as data validation dropdowns and buttons are stripped, as PDFs do not support them.
