Why Add Page Numbers to a PDF?
Page numbers seem like a minor detail, but they matter enormously in practice. In a legal filing, both parties need to reference "page 14 of the agreement" with confidence. In an academic paper or report, page numbers allow readers to navigate quickly and cite specific content. In a multi-section proposal or client deck, numbered pages make your document look professional and organised β unnumbered PDFs signal that a document was not properly prepared. Where Should Page Numbers Go?
The most universally accepted placement is bottom-centre β it is unobtrusive and works for virtually all document types. Bottom-right is preferred in legal documents and academic papers where right-side headers are the norm. Top-right works well for landscape reports and presentations where the bottom margin is visually heavy. Avoid placing numbers over header or footer areas that already contain content β if your PDF has a footer with a company name or a header with a chapter title, choose the opposite margin to avoid overlap.
Starting From a Number Other Than 1
Documents compiled from multiple sources often need a custom start number. A report with a cover page and a two-page executive summary might number the first content page as page 1 rather than page 4 β this is called a logical page number offset. PdfDocShift lets you set the starting number freely, so you can match the page numbering to the document's intended structure. Roman numerals for front matter and Arabic numerals for the main body is a common academic convention β plan your numbering scheme before processing and apply the tool twice if you need two numbering styles.
